1. Applicability Based On No. of Employees:

The primary criteria for compulsory registration is based on the number of employees. EPF registration is usually mandatory if the number of employees is 20 or more.

2. Non-Eligible Employees :

 As per EPF rules, if an employee’s basic salary and dearness allowance are more than Rs.15000 at the time of joining, he is known as a non-eligible employee. However, non-eligible employees can also opt for the PF scheme with the consent of the employer.

3. Voluntary Registration:

There is a provision of voluntary registration under the PF
Act. It means that even if the number of employees is less than 20, one can take the registration voluntarily.

FAQ`s Regarding EPF Registration

The PF account number was issued to the employees registered under the EPF. It is a unique number for each employee and is used by employees to check the status of their EPF, the balance in the EPF account, etc. Now it has been replaced by the “UAN” number.

There is no government fee for PF registration.

UAN stands for Universal Account Number. It is allotted by the Employees’ Provident Fund Organization (EPFO) to all registered employees.

• Digital Signature of Proprietor/Partner/Director/Authorised Signatory.
• Aadhar Card of Proprietor/Partner/Director/Trustee.
• PAN Card of Proprietor/Partner/Director/Trustee.
• Cancelled Cheque/Bank Statement of Entity.
• PAN Card of the entity.
• Electricity Bill of the Registered Office (not older than two months).
• Shop and Establishment Certificate/GST Certificate/ License issued by the government for a factory.
• Copy of partnership deed/ Copy of certificate of incorporation/MOA and AOA for a public or private ltd company/Societies should submit a copy of registration certificate and rules and objects of the society. ( if applicable)
• Number of employees in the organisation

Step 1: Visit https://www.epfindia.gov.in/site_en/index.php

Step 2: Select “Employers” under the “Services” section

Step 3: Select “Online ECR / Challan Submission/OTCP”

Step 4: Log in with EPF user id and password

Step 5: Select “Download Pdfs” under the “Establishment” section

Step 6: Now download “Code allotment and form 5A,” i.e., PF registration certificate, in pdf.

In the case of employers, one has to register their mobile no. at the time of registration.

In the case of employees, one needs to activate his
UAN no. for mobile number registration. The steps
are as follows:

Step 1: Visit https://www.epfindia.gov.in/site_en/index.php

Step 2: Select “For Employees” under the “Service” section

Step 3: Select the “Member UAN/Online service (Ocs/Otcp)” option from the drop-down of the “For Employees” tab.

Step 4: Click on Activate UAN

Step 5: Enter your UAN, DOB, and Mobile no. and email-id

Step 6: Now click on get authorisation Pin

Step 7: OTP will be sent on your mobile no.

Step 9: Enter the OTP to activate your UAN, and this mobile will also be registered with your EPF.

Step 1: Visit https://www.epfindia.gov.in/site_en/index.php

Step 2: Select “for Employees” under the “Service” section

Step 3: Click on the “know you UAN” option

Step 4: Enter your 10-digit mobile no. registered with EPF and click on the Request OTP option

Step 5: Enter the OTP and click on verify.

Step 6: Now, you have to fill in details as per Aadhar/Pan or EPF member card

Step 7: After filling in details, click on “verify and submit.”

Step 8: After successful verification, you can see your UAN no. on the screen

In the case of employers, you can update mobile no. by the following process:-

Step 1: Visit https://www.epfindia.gov.in/site_en/index.php

Step 2: Select “For Employers” under the “Services” section

Step 3: Select “Online ECR / Challan Submission/OTCP”

Step 4: Log in with EPF user id and password

Step 5: Select contact details under the establishment section

Step 6: Now fill in your new contact details

Step 7: Awn OTP will be sent to your new mobile number

Step 8: Verify the OTP and click submit


In the case of an employee, you can change your mobile no. by the below-mentioned steps:

Step 1: Visit https://www.epfindia.gov.in/site_en/index.php

Step 2: Select “For Employees” under the “Service” section

Step 3: Select “Member UAN/Online service (Ocs/Otcp)”

Step 4: Log in with your UAN and password

Step 5: Click on contact details under the manage option

Step 6: Tick Check mobile number option; after that, a new section will open to enter your new mobile no.

Step 7: OTP will be sent on this new mobile no.

Step 8: Enter the OTP and click on submit button.

Step 1: Visit https://www.epfindia.gov.in/site_en/index.php

Step 2: Select “For Employees” under the “Service” section

Step 3: Select “Member UAN/Online service (Ocs/Otcp)”

Step 4: Log in with your UAN and password

Step 5: Select KYC under the “Manage” section

Step 6: Make sure your KYC details such as your Aadhar, PAN, and bank account details are verified

Step 7: Click on Claim (Form-31, 19 & 10C) from Online
Services section

Step 8: Member personal, KYC, and service details will display on the screen

Step 9: Enter your bank a/c details and click verify

Step 10: Click on Yes to sign the certificate undertaking and then proceed

Step 11: Now click on Proceed for online claim

Step 12: Here, select your type of claim, i.e., Full settlement, Partial Settlement, or pension withdrawal

Step 13: Then Select PF advance form 31

Step 14: Click on the certificate and submit your application.

Step 15: Now, the employer has to approve your withdrawal request.

Step 16: After approval from the employer, you can withdraw the amount.

Step 1: Visit the website https://unifiedportal-mem.epfindia.gov.in/memberinterface/

Step 2: Login using your UAN and Password

Step 3: Click on the KYC option under the Manage tab

Step 4: A new page will appear with a list of document types for KYC

Step 5: Click on the document type which you want to update

Step 6: Fill in the document details

Step 7: Click on save after updating the details

Step 8: Once the KYC get updated, document status will be shown as “KYC pending for approval”

Step 9: Once the employer digitally approves the KYC, you will get a notification via SMS.
